Use case · Wholesale · Manufacturing

Stop retyping supplier price lists.

Suppliers send new price lists, each in its own layout, and someone updates the purchase prices item by item in the order system (ERP). The automation prepares the changes; your buyer checks and approves.

ERP: the system that holds your orders, stock and invoices.

Sound familiar?

  • Every supplier, its own layout

Every supplier sends its price list in its own layout: one as a spreadsheet, another as a PDF.

  • Updating item by item

Someone looks up every item and retypes the new purchase price into the order system.

  • The old price stays

A new price list sinks under newer emails, and meanwhile you still calculate with the old purchase price.

Today. And with AIstap.

Possible impact, not a promise: what it brings depends on your process.

What AIstap can build.

An example. What we build for you is agreed upfront.

  • Mailbox connection

    Where the price lists arrive.

A connection to the mailbox in which the suppliers' price lists arrive.

  • Reading the list

Item, price, unit and start date.

The automation reads the price list: item, price, unit and start date.

  • List next to ERP

Whatever differs lights up for your buyer.

The automation compares the list with your system; a different unit goes to your buyer first.

  • Preparing the changes

Final only once your buyer has approved.

New purchase prices are prepared in your order system; final only after your buyer approves.

Checked by your team.

The automation prepares. Your people approve and decide when something is unclear.

Your buyer decides when in doubt

If the list prices differently from your system, or an item is missing, your buyer sees the line first. The automation does not guess.

    Negotiating stays with people

Negotiating prices and setting sales prices is done by your team. In this set-up the automation does neither.

  • No price changes without your buyer

In this set-up the automation does not change any purchase price in your order system by itself. Your buyer approves the changes first.

In the systems you already have.

Which connection is possible is something we look at in the free analysis.

The price lists arrive in your own mailbox and the new prices are then prepared in your own order system. Whether and how your system can be connected, we look at in the free analysis.

Questions about this use case.

Every supplier uses a different layout. Does it still work?

We test that in the pilot, with your suppliers' real price lists. Whatever cannot be read with certainty goes to your buyer first.

Does the automation change our sales prices too?

No. In this set-up only the new purchase prices are prepared. What that means for your sales price is your decision.

What if a supplier's item is not in our system?

Then that line stays open. Your buyer sees it with the price list attached and decides whether it is a new item.
